Office HVAC — Comfort, Air Quality & Maintenance

Office HVAC is measured by how few complaints it generates, and complaints are almost always a zoning story rather than an equipment story. The typical suite runs a rooftop unit or two feeding zone dampers, a set of thermostats that no longer match the way the floor is divided, and an outdoor air damper nobody has inspected since the building was commissioned. Sort those three out and most of the emails stop.

The classic office pattern is a floor where one half wears sweaters and the other half runs desk fans. It is rarely a failing unit. Perimeter offices along the south and west glass of the buildings on North Service Road, Harvester Road and the Winston Park area of Oakville take sun until the end of the day and need cooling long after the interior has cooled off; interior rooms with no exterior wall have people, laptops and lights and need cooling in February. When a single thermostat in a hallway controls both, one group is always wrong. Splitting the zone, moving a sensor out of a sunbeam or off a warm wall, and setting a sensible deadband is cheaper than any equipment and fixes the majority of these calls.

The second thing that quietly goes wrong is ventilation. Offices get re-partitioned constantly — an open plan gets carved into rooms, a boardroom for 10 ends up with one diffuser and no return, a phone booth gets built with no air at all. Add hybrid schedules that put a full house in on Tuesdays and almost nobody in on Fridays and the assumptions the system was set up under are gone. A stuffy boardroom by the end of a long meeting is a measurable thing: it means the fresh-air side is not keeping up for that many people in that volume. We check whether the outdoor air damper opens at all, what the economizer is doing, and whether the filters you are running are ones the blower can actually pull through — a filter that is too restrictive starves the very airflow you were trying to clean. Server and IT rooms are their own building. A closet full of switches and a small rack rejects heat every hour of every day, including the −10°C weekend when the base building system is in setback and nothing is calling for cooling. The standard answer is a dedicated ductless mini-split with a low-ambient kit so it will run in winter, on its own thermostat and its own circuit, independent of the floor. A ductless mini-split doing that job costs less than one after-hours emergency for overheated equipment.

For scheduling, most office systems can run outside posted hours without leaving the whole floor conditioned all night, and if you bill tenants for after-hours use we can set the controls up so that use is recorded. Rooftop units with zone dampers

The common arrangement for a single-storey or top-floor suite: one packaged unit feeding several damper-controlled zones. Most comfort work here is at the damper, the thermostat location and the controls rather than at the unit.

Split systems and fan coils

Used where roof capacity is limited or the suite is mid-building. Indoor sections above ceilings need filter access, drain pans that actually drain, and someone who checks them before a leak shows up on the ceiling tile below.

Dedicated server and IT room cooling

A wall-mounted mini-split with a low-ambient kit, sized for the equipment load and set to hold a fixed temperature year-round on its own controls, so a long weekend in the base building's setback does not turn into a hardware failure.

Fresh air, filtration and controls

Outdoor air dampers, economizers, HRV or ERV units where they exist, filter racks matched to the blower, and scheduling. This is the equipment group most likely to have been left in whatever position it was in five years ago.

What goes wrong in these buildings

How it works

1. Log the rooms people complain about

Temperature loggers left for a week in the offices that generate emails, plus readings at the diffusers and the thermostats. A week of data usually names the cause without anybody guessing.

2. Zone and control it properly

Dampers set, sensors relocated away from sun and equipment, deadbands and schedules written to how the floor is really used, and adjustment limits so a thermostat war cannot start.

3. Verify air and filtration

Outdoor air proven to be moving, economizer operation confirmed, and filters specified at the highest rating your blower can carry without losing airflow. It gets documented so the next visit has a baseline.

Common questions

Why are two offices on the same floor never the same temperature?

Because they are usually on the same zone but under completely different loads. A west-facing perimeter office gains heat from glass all afternoon while an interior room gains it from people and equipment all day, and one shared thermostat can only satisfy one of them. The fix is more zones, better sensor placement, or redirected airflow — not a bigger unit, which normally makes the swing worse.

Will a better filter improve office air quality?

Up to a point, and only if the system can pull air through it. A higher-rated media filter in a proper cabinet captures far more than a thin panel filter, but pushing the rating past what the blower was designed for reduces airflow, which reduces both filtration and comfort. We match the filter to the equipment, then look at whether the real issue is fresh air rather than filtration.

How do we cool a server room without cooling the whole floor?

Give it its own system. A ductless mini-split with a low-ambient outdoor kit runs on its own thermostat, holds the room year-round, and is unaffected by the base building schedule. It also means a failure in the closet does not require running the main unit all weekend to protect one rack.

Can the system run after normal hours for a late shift?

Usually yes. Most commercial controls support an occupied override or a timed after-hours run so one zone can stay conditioned without waking the whole building, and networked thermostats can log those hours if you need to bill them back to a tenant. If your controls are too old to do it, that is often the cheapest upgrade on the list.
