Heat Pump Water Heater Repair

Heat pump water heater repair usually means airflow or drainage, not refrigerant: a clogged air filter, a blocked condensate drain, a failed fan or a sensor. The tank still has two ordinary electric elements, so switching it to Electric mode keeps hot water coming while the fault is found. A diagnostic visit is $90–$150; a sealed-system fault inside the manufacturer's warranty is a warranty claim, not a field repair.

A heat pump water heater is an electric tank with a small refrigeration unit on top. In Heat Pump mode the compressor does all the heating, moving heat from the room air into the water. In Hybrid mode the compressor runs first and the backup elements join only when demand outruns it, such as back-to-back showers. In Electric mode, or when the room is colder than the compressor is allowed to run in, the elements carry the whole load and the unit costs as much to run as a standard tank.

The display code tells you which half of the machine has the fault. Codes sort into a few families: tank and air temperature sensors, the upper or lower element, the fan, an evaporator running too cold, the compressor or its discharge temperature, a condensate or leak alarm, and dry-tank protection after a refill. The numbers differ between Rheem, A.O. Smith and other makers, so the chart in the manual or behind the access panel is the authority. Give us the code and the mode the unit was in when you call.

Most calls trace to air and water, not to the sealed system. The washable filter on top clogs with basement dust and laundry lint, airflow drops, and the evaporator coil runs cold enough to ice over. The same icing shows up when the unit sits in a cold cellar or a closet with too little air around it; many manufacturers ask for roughly 700 cubic feet of room, or a louvred door or ducting. A blocked condensate line sends water down the jacket or trips the overflow alarm, and where the drain relies on a pump, a dead condensate pump does the same.

Compressor failures and refrigerant leaks are a different category. The refrigerant circuit is factory-sealed with a small charge, and inside the warranty period the manufacturer decides the remedy, which is often a replacement unit instead of a field repair. Our part is the diagnosis that proves it: element and sensor tests to rule out the cheap causes, temperature readings across the evaporator, and the model and serial number for the claim. A unit out of warranty with a failed compressor is usually a replacement decision.

Call for heat pump water heater repair when

  • An error code is on the display and returns after you clear it
  • The unit has quietly dropped to element heat and the hydro bill has climbed
  • Water is on the floor or running down the jacket from the top, which is condensate and not a tank leak
  • Frost or ice sits on the coil behind the filter, or the fan is silent while the compressor tries to run
  • Hot water runs out sooner than it used to in Hybrid mode

How it works

1. Switch to Electric mode and note the code

That keeps the elements making hot water and stops the compressor running against a fault. Write down the code, the mode and whether there is water on the floor, then call.

2. Check air, drain, sensors and elements

We clean the filter and coil, clear and test the condensate drain, check the fan, read the temperature sensors against actual temperatures and test both elements. Most faults are found here.

3. Repair, or open the warranty claim

Common questions

Why is my heat pump water heater running on the elements all the time?

Either it was told to or it cannot run the compressor. Check the mode first; High Demand and Electric both use the elements freely. If it is in Hybrid, the usual causes are a clogged filter, a room that has dropped below the compressor's operating range in winter, an iced coil or a failed fan. The unit protects itself by falling back to resistance heat.

Is ice on the coil always a refrigerant problem?

No. A light frost that clears by itself is normal in a cool room. Heavy ice that stays usually means restricted airflow from a dirty filter, a blocked intake or a dead fan, or a room that is too cold or too small. Low refrigerant can ice a coil too, but it is the last cause to suspect and the only one that becomes a warranty matter.

How often should the filter be cleaned?

Look at it every few months and rinse it when you can see a grey mat, more often if the unit shares a room with the dryer or a workshop. Most units remind you with a filter alert. Pouring a cup of water into the condensate pan once a year confirms the drain is open before it overflows on its own schedule.

Can any technician work on the refrigerant side?

Only one holding an Ozone Depletion Prevention (ODP) card, and on these units there is rarely a reason to. The circuit is sealed at the factory, usually without the service ports a central air conditioner has, so there is no routine topping up. A confirmed leak or compressor failure goes to the manufacturer, who decides between a repair procedure and a replacement tank.

Should I repair or replace an older heat pump water heater?

Repair when the fault is a filter, drain, fan, sensor or element and the tank is dry; those parts cost far less than a new unit.
